EXPRESSION OF INTEREST TO HOST AN EVENT AS PART OF THE 2024 BENALLA STREET ART FESTIVAL

The Benalla Street Art Festival Advisory Committee is now accepting applications to run fringe events or activities as part of the Benalla Street Art Festival from Thursday, 21 March – Thursday, 28 March 2024. The Benalla Street Art Festival 2024 will be run by Benalla Rural City Council and overseen by the community-based Benalla Street Art Festival Advisory Committee. We want to hear from businesses, community groups, social groups, sporting groups, schools, and service organisations with the capacity to deliver fringe events that are complimentary to the Benalla Street Art Festival.

About the Festival

The Benalla Street Art Festival is returning in 2024 after a four year break and will be celebrated over one week from 21 – 28 March 2024 (the week before Easter). The Benalla Street Art Festival will feature professionally curated events featuring international street artists. We hope to also include community fringe events which encompass all forms of the arts also such as visual, textiles, fashion, multi-media, film, live music, dance, family attractions, exhibitions, workshops, open studios, pavement art, and other community engagement activities such as yarnbombing to decorate the town as part of the festival program.

CBD and Rural events

It is intended that there be a diverse range of community events and activities at various locations throughout the Benalla area – both CBD and rural villages – in order to encourage visitor dispersal for the entire week of the Festival.

What will the Benalla Street Art Festival provide for your event?

When you hold a fringe event as part of the Benalla Street Art Festival, you will be part of a premier national event which is being promoted to Melbourne and Canberra, as well as across the North East Victoria and Southern NSW region. We anticipate up to 10,000 people may attend the Festival.

Support

Council will support event organisers to obtain Council permits required to deliver events and can provide advice on logistics, marketing and ticketing support as required.

Marketing

The Benalla Street Art Festival will provide umbrella marketing, print media, advertising and media opportunities that promote the diverse program of events included in the festival. These will be listed on the new Benalla Street Art Festival website and through social media and visitor services channels @benallastreetartfestival. Fringe event organisers are encouraged to promote their event through their own channels also, and tag #benallastreetartfestival and #enjoybenalla at every opportunity. All events will be included in the Benalla Street Art Festival Program which will be available online, plus distributed to letterboxes throughout Benalla Rural City and parts of North East Victoria, Melbourne and Canberra. The Benalla Street Art Festival’s website and Socials @benallastreetartfestival will also be promoting all events in the lead up and during the Festival.

Is there funding support?

Financial support from Council may be available, depending on the nature of the event proposed. There are currently Council funding streams offered by Benalla Rural City Council annually. These include:

  1. Quick Response Grants of up to $500;
  2. Major Event Funding Grants of up to $2,000;
  3. Community Grants of up to $2,500;
  4. Youth Participation Grants of up to $500;
  5. Social Connection Grants – (close 28 February for events to be held before 1 April 2024).

Economic & social returns

The Benalla Street Art Festival offers a host of economic and social benefits to the community. Those who participate help showcase the many facilities and attractions that make Benalla Rural City a great place to live, work and visit. Well-managed events create opportunities for financial returns to the event facilitator.

What is my role if I am part of the Benalla Street Art Festival Fringe Events?

As a host of a COVIDSafe event or activity, you are responsible for managing your own activity or event and associated costs. This includes organising the necessary venue and equipment, Public Liability Insurance and any permits as necessary. Council can assist with event permit requirements and ticket sales for your event. *We are encouraging all events to be ticketed – even if they’re free – in order to capture attendees details for reporting purposes to our major funder, Visit Victoria, in order to capture the economic benefit to the town.

Your commitment

Once your event is approved and published on the Benalla Street Art Festival website, if for any reason you are considering the cancellation or postponement of your event you must liaise with the Benalla Council’s Events Co-ordinator in the first instance to discuss alternative options. The Benalla Street Art Festival program of events is distributed widely and once locked in need to be sure that what is advertised is delivered (unless there are extenuating circumstances).

How do I get involved?

It’s easy! Simply complete the Expression of Interest form at www.benallafestival.com.au by Sunday,11 February 2024. What do I need to submit? The online form includes the basics such as your name, address and event details and days/dates/time of it, plus how your activity/event will align with the focus of the Festival. Priority will be given to proposals that best fit the Benalla Street Art Festival focus ie those which involve visual arts, textiles, fashion, multi-media, film, live music, dance, family attractions, youth related activities, exhibitions, workshops, open studios, artist talks plus community engagement activities prior to or during the Festival to decorate the town such as pavement art, yarnbombing or other activities. 

When does it close?

Be sure to complete the online EOI form by Sunday, 11 February 2024.

What’s next?

All applications will be assessed by the Committee in the week of 12 February. Every effort will be made to accommodate EOIs for inclusion in the Street Art Festival. You may receive a call to discuss your proposal further as required. If successful, Council will then send you an email approving the inclusion of your event, along with a Memorandum of Understanding (MOU) to be signed and returned asap.

Confirmation of your involvement

As part of being included as a Fringe event you will need to provide the following back to Council within a week:

  • Sign and return the MOU;
  • Provide a copy of a current Public Liability Insurance certificate;
  • Proof of Working with Children and Victorian Police checks if hosting a children’s activity;
  • Depending on the scope, location and size of your event a community event application may also be required to be completed. However Council’s Events Co-ordinator can assist you with this.

If you have any photographs that could accompany your entry please or email/Dropbox to benallastreetartfestival@benalla.vic.gov.au High resolution photo files are required with a minimum of 300DPI or 1-5MB.
